AN EXAMPLE OF HOW WE SCOPE THE WORK
A better document workflow.
A clear decision to make.
This illustrative brief shows what we define before a build. The numbers are example assumptions and proposed targets, not client results or a delivery guarantee.
01 / BUSINESS PROBLEM
Too much time between intake and approval.
A team receives documents by email, copies the information into an internal system, and checks each record manually. The proposed scope covers one document type, one intake channel, and one destination system.
02 / MEASUREMENT PLAN
Agree on the comparison before the build.
| Measure | Example baseline | Proposed target |
|---|---|---|
| Active handling time | 40 min / document | 8 min / document |
| Required-field accuracy | Establish during discovery | At least 98% on the agreed sample |
| Human approvals | Every record | Every record |
| Operating cost | Establish during discovery | Within an agreed cost per document |
Compare active handling time on 200 representative documents from the same document type. Use separate evaluation documents that were not used to tune the workflow. Include errors, missing fields, exceptions, and review time. Report the median and the slowest 10% of cases alongside accuracy.
03 / WHAT WE BUILD
One connected workflow.
- ReceiveCapture documents from the approved intake channel.
- PrepareExtract required fields and attach the source evidence.
- CheckApply validation rules and flag exceptions for review.
- ApproveA person checks the prepared record before it is written to the destination system.
- MeasureRecord processing time, review time, corrections, and cost.
04 / DEPENDENCIES & BOUNDARIES
Make the assumptions visible.
The business provides an accountable workflow owner, representative documents, access to a test environment, validation rules, and reviewers. We agree on permissions, retention, deployment, and escalation with your team. Additional document types, autonomous approvals, and changes to the system of record are outside this example scope.
05 / THE INVESTMENT DECISION
Evidence for what comes next.
The final brief brings together the measured change, delivery cost, ongoing cost, adoption, and remaining failure modes. Time released becomes a capacity estimate based on actual volume. It becomes a cash-saving claim only if a corresponding cost is removed.
If the workflow meets the agreed criteria, assess the next document type. If it misses the target, document the cause and the cost of another iteration. Expansion should earn its place.
